This policy describes how Cyntrix Systems collects, uses, and protects information in connection with the CyntrixOne ERP platform and our website.

1. Overview
Cyntrix Systems, Inc. (“Cyntrix,” “we,” “us,” or “our”) provides CyntrixOne, a cloud-based enterprise resource planning (ERP) platform for manufacturers and distributors. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website, request a demo, or use the CyntrixOne service (collectively, the “Services”).
We act in two distinct roles. For information about visitors, prospects, and account administrators, we act as a data controller. For the business data your organization loads into CyntrixOne to run its operations (“Customer Data”), we act as a data processor on your behalf, and our handling of that data is governed by the agreement between Cyntrix and your organization.
2. Information We Collect
Information you provide
- Contact and demo-request details such as your name, business email, phone number, company name, and the message or requirements you submit.
- Account information for administrators and authorized users, including credentials and role assignments.
- Billing and commercial information, such as billing contact, plan, and module selections (payment card data is handled by our payment processors, not stored by us).
- Support communications, including the contents of tickets, emails, and call notes.
Information collected automatically
- Usage and device data such as IP address, browser type, pages viewed, referring URLs, and timestamps.
- Cookies and similar technologies used to keep you signed in, remember preferences, and measure site performance.
- Application logs and telemetry generated when authorized users interact with CyntrixOne, used for security, troubleshooting, and reliability.
Customer Data
When your organization uses CyntrixOne, it submits business records — such as inventory, orders, production schedules, vendor and customer records, and financial transactions. We process Customer Data only to provide and support the Services in accordance with your organization’s instructions and our customer agreement.
3. How We Use Information
- To provide, operate, secure, and maintain the Services.
- To respond to demo requests, sales inquiries, and support tickets.
- To process transactions and manage subscriptions, plans, and modules.
- To improve and develop features, and to monitor performance and reliability.
- To detect, prevent, and investigate fraud, abuse, and security incidents.
- To send service, security, and administrative communications, and — where permitted — relevant product updates you can opt out of at any time.
- To comply with legal obligations and enforce our agreements.
4. Legal Bases for Processing
Where the GDPR or similar laws apply, we process personal data on the following bases: performance of a contract (to deliver the Services you request), legitimate interests (to operate, secure, and improve our business in ways not overridden by your rights), consent (for certain marketing and cookies, which you may withdraw), and compliance with legal obligations.
6. Subprocessors and Hosting
CyntrixOne is hosted on reputable cloud infrastructure providers. We engage a limited set of subprocessors to deliver the Services and require each to maintain appropriate technical and organizational safeguards. A current list of subprocessors is available on request, and customers may subscribe to be notified of material changes.
7. Data Security
We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit and at rest, role-based access controls, least-privilege access, network segmentation, logging and monitoring, regular backups, and routine security testing. No method of transmission or storage is completely secure, but we work continuously to protect your information and to respond promptly to any incident.
8. Data Retention
We retain personal information for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce agreements. Customer Data is retained for the term of your organization’s subscription and deleted or returned in accordance with the customer agreement following termination, subject to legal retention requirements.
9. Your Privacy Rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us using the details below. If your data is held within CyntrixOne as Customer Data, we will refer your request to the relevant organization (the data controller) and assist as required.
U.S. state residents (including California) may have rights to know, delete, correct, and opt out of “sharing” or “sale” of personal information as those terms are defined by applicable law. We do not sell personal information and will not discriminate against you for exercising your rights.
11. International Data Transfers
We may process and store information in countries other than where you are located. Where we transfer personal data across borders, we use appropriate safeguards, such as standard contractual clauses, to protect your information consistent with applicable law.
12. Children’s Privacy
The Services are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will revise the “last updated” date and, where appropriate, provide additional notice. Your continued use of the Services after an update constitutes acceptance of the revised policy.
